Operating out of the iconic Crumlin Road Gaol in Belfast, Northern Ireland, the Belfast Distillery Company has been on a dynamic growth path over the last two years. The historic company, dating back to the 1700's has been on a mission to restore the brand, McConnells Irish Whisky and are currently reshaping the rebirth of distilling in Belfast. In addition, they are creating a unique visitor attraction where the public can visit and enjoy an up close and personal experience, led by an expert guide who will share the secrets of Mconnells history. Visitors will have the opportunity to observe the process of making triple-distilled, single malt Irish whiskey, and of course, sample some of the brand’s award-winning whiskies along the way.
Requirements Overview
Before partnering with Solweb, the distillery’s team faced a number of data management and reporting challenges common in the beverage manufacturing industry:
- Time-Consuming Reporting Process: To prepare weekly and monthly financial stock reports, staff had to gather information from multiple sources and juggle many Excel spreadsheets. This manual process took up hours of staff time and delayed access to critical information.
- Prone to Human Error: Manually consolidating data from various spreadsheets introduced the risk of mistakes. With complex and sensitive information (inventory levels, production outputs, sales figures), even small errors could lead to incorrect decisions or rework.
- Lack of Real-Time Visibility: By the time a report was compiled, the data was already stale. The distillery lacked a real-time view of operations – they couldn’t easily get up-to-date stock or production figures without another round of data gathering.
- Scalability Concerns: As the distillery expanded, these issues only grew. More production and sales meant more data to handle. The existing reporting method was not scalable; it would only consume more time and become more error-prone with growth.
Belfast Distillery Company realized that to continue their growth trajectory, they needed to modernize their reporting process. They sought a solution that would integrate with their existing MRP software (123insight) to automatically pull data and generate professional reports, freeing their team from tedious manual work.
Solution
After a thorough discovery and planning phase, Solweb designed and developed a bespoke Financial Export Application tailored to the distillery’s needs. This Windows-based software seamlessly connects to Belfast Distillery’s 123insight MRP system and automates their reporting workflow. Key features of the solution include:
- Real-Time MRP Integration: The application is directly integrated with the 123insight manufacturing software. It pulls live data on inventory, production batches, sales orders, and other key metrics straight from the source. This ensures that every report uses up-to-the-minute information without any manual data entry.
- One-Click Report Generation: With the new system, staff can generate comprehensive financial stock reports and other operational reports with a single click. The application automatically consolidates data from all necessary modules and outputs it into a well-structured Excel workbook (.xlsx format). The first sheet contains an easy-to-read summary, and additional sheets provide detailed data, all formatted for clarity. No more piecing together multiple spreadsheets – the software handles it in seconds.
- Customizable & Future-Proof: The solution includes a user-friendly settings interface, allowing authorized personnel to adjust parameters and report criteria as needed. These settings (like date ranges, product categories, or financial thresholds) are stored in the MRP database, so they persist and can be tweaked over time. Importantly, the application was built with flexibility in mind - it can be amended or upgraded easily if the distillery’s processes change or new reporting needs arise. This future-proof design means the software investment will continue to deliver value as the business evolves.
- Error Reduction and Data Validation: Because the data flow is automated and coming straight from the central system, the opportunity for human error has been drastically reduced. The application includes validation checks to ensure that, for example, all required fields in the MRP data are present before generating the report.
