Requirements Overview

Before the project, TBC’s team had to manually configure all the variables that were to be completed for each job which was very time consuming and prone to human input errors. They were faced with a backlog of orders and an administration team who were feeling overwhelmed.

They wanted to stop using Excel spreadsheets for all their tasks and find a way to streamline their quotation and sales order process while integrating it with their 123insight MRP system.

Solution

Having discussed the details with TBC’s team we had a clear picture of the issues they were facing and understood their requirement for a system that removed many of the manual admin tasks that were delaying the progress of work for clients.

Solweb’s team developed a configurator which automates and manages the whole quotation process, avoiding the need for spreadsheets or manual data input. 

The new quotation system was set up to integrate with the 123insight MRP and now creates a Bill of Materials (BOM) automatically for each job. By passing routings logically to 123insight, sales orders can be automatically generated avoiding the need to reinput any data along the way.

Outcome

Automating the quotation process and integrating it with their MRP system immediately improved productivity at TBC. The team saw significant time savings and welcomed the related savings on staff costs.

Day to day working became easier because everyone had visibility of revisions to customer quotes, which ensured that all quotations were completely up to date and accurate.

Quotes are now automatically emailed to customers promptly without errors, making the whole sales process smooth and efficient. As soon as a customer places an order the manufacturing process is ready to start as all the required BOM information is instantly available in the MRP system.
